Role Summary

The Sales Assistant is a key support role at Evergreen, responsible for managing lead flow, preparing high-quality technical proposals, and ensuring a smooth transition of projects to the Operations team. This role focuses on maintaining the accuracy of "The Brain" (Hubspot) and ensuring that all potential customers receive professional, timely communication throughout the sales funnel.

 

Key Responsibilities

 

Lead Management & Proposal Support

·        Renewable Lead Management: Receive and manage leads from Evergreen's lead platforms, ensuring all details are correctly inputted into Hubspot to maximise every opportunity.

·        Proposals: Create proposals using OpenSolar ready for designing by Sales lead

·        Quality & Submission: Review all proposals for accuracy and ensure they are submitted to leads within agreed timeframes.

·        Pipeline Flow: Proactively follow up with customers multiple times after a proposal has been sent to maintain sales momentum.

 

Operations Handover

·        System Transfer: Review accepted proposals and facilitate the handover to the Operations team for delivery.

·        Workflow Execution: Execute the synchronisation of data across platforms: OpenSolar Quote → Simpro Quote → Simpro Job.

·        Data Integrity: Ensure all site requirements, client notes, and signed contracts are accurately reflected in Simpro before a job is scheduled.

 

Administration & Coordination

·        General Sales Support: Provide administrative support to the sales team, maintaining high standards of documentation accuracy.

·        Process Compliance: Ensure all tasks are performed in accordance with Evergreen’s standard operating procedures (SOPs) documented in Scribe.

·        Stakeholder Liaison: Liaise with Evergreen's marketing and senior management to provide updates on lead conversions and partnership opportunities.

 

Client & Lead Communication

·        Omnichannel Communication: Utilise Podium to communicate with leads via SMS and webchat for proposal follow-ups and general enquiries.

·        Professional Rapport: Demonstrate high-level interpersonal communication skills to build professional rapport with both internal teams and external customers.

 

Knowledge, Skills, and Experience

·        Exceptional attention to detail and data management skills.

·        Strong written and verbal communication skills in English (AUS).

·        Ability to manage multiple priorities and work effectively in a fast-paced environment.

·        Experience in sales support or technical administration within the renewable energy sector is highly desirable.
