Probate and Trust Admin Paralegal

We are seeking a detail-oriented, empathetic, and highly organized Probate and Trust Admin Paralegal to join our team remotely.

Key Responsibilities

  • Draft and file Petitions for Probate/Administration.
  • Prepare inventories of estate assets and formal/informal fiduciary accountings.
  • Coordinate the transfer of assets, titling, and distributions to beneficiaries.
  • Act as liaison between attorney and client
  • Ensure that case-related documents are well organized and available for review
  • Conduct legal research when necessary
  • Provide general administrative support
  • Communicate with clients
  • Attend or host in-take meetings with clients
  • Maintain and update documentation

Qualifications

  • 2+ years of experience specifically in Probate & Trust Administration
  • Court Experience

Proven experience navigating the local Surrogate’s/Probate Court systems and e-filing (e.g., NYSCEF, File & Serve).

  • Fiduciary Accounting

: Ability to reconcile bank statements and track expenditures for court-mandated accounting forms.

  • Compassion & Resilience

: Experience dealing with families facing incapacity, dementia, and end-of-life logistics.

  • Technical Skills

Proficiency in legal software’s, e.g., Clio, Wealth Counsel, Lawmatics and experience with e-filing systems.

  • Soft Skills

Ability to handle sensitive family dynamics with patience and professionalism.

  • Certification or Associates Degree as a Paralegal a plus
  • Strong verbal and written communication skills
  • Highly organized, detail oriented with document management experience
  • Excellent research skills
  • Comfortable Microsoft Office Suite
  • Ability to multitask and work well under pressure
