Role Overview

The Data Entry Operator position at arenaflex is a critical component of our data management ecosystem. Based in Mumbai, you will be responsible for entering, updating, and maintaining high‑quality data within our proprietary recruitment databases and associated platforms. Your work will directly influence the efficiency of our recruitment processes, the reliability of our reporting, and the overall satisfaction of both candidates and corporate clients.

This role offers a unique blend of routine data handling, problem‑solving, and cross‑functional collaboration. You will work closely with recruiters, HR analysts, and IT specialists to ensure that every data point is accurate, secure, and readily accessible for strategic decision‑making.

Key Responsibilities

Data Capture & Maintenance

  • Enter candidate and client information into arenaflex’s centralized database with a focus on speed and precision.
  • Update existing records to reflect changes in contact details, employment history, qualifications, and status.
  • Perform routine data validation checks to identify and correct inconsistencies, duplicates, or missing fields.
  • Organize and digitize supporting documents, ensuring they are correctly linked to the appropriate records.

Quality Assurance & Auditing

  • Conduct systematic data audits on a weekly basis to uphold data integrity and compliance with internal standards.
  • Collaborate with the Quality Assurance team to develop and refine data validation rules and error‑handling procedures.
  • Document audit findings and recommend corrective actions to prevent recurrence of data quality issues.

Reporting & Analytics Support

  • Generate standard and ad‑hoc reports for management, highlighting key metrics such as candidate pipeline volume, placement rates, and client engagement.
  • Extract data sets for deeper analysis by HR analysts, ensuring that data extracts are accurate and formatted according to specifications.
  • Assist in the preparation of dashboards and visualizations that support strategic planning and operational monitoring.

Cross‑Functional Collaboration

  • Partner with recruiters to streamline data‑related workflows, reducing turnaround time for candidate profiling and client updates.
  • Provide timely data support to the Customer Success team, addressing inquiries and resolving data‑related issues.
  • Work with the IT department to troubleshoot system glitches, suggest enhancements, and test new data entry tools.

Confidentiality & Compliance

  • Maintain strict confidentiality of all personal and corporate information, adhering to data protection regulations such as GDPR and local privacy laws.
  • Follow arenaflex’s data security protocols, including secure password management, encrypted file handling, and regular backups.

Essential Qualifications

  • Minimum of 1–2 years of proven experience in a data entry, data management, or administrative role, preferably within a recruitment or HR environment.
  • Exceptional typing speed (≥70 wpm) with a high degree of accuracy (≤2 errors per 1000 characters).
  • Proficiency with Microsoft Office Suite—especially Excel (including formulas, pivot tables, and data validation) and Word.
  • Familiarity with data entry software, applicant tracking systems (ATS), and customer relationship management (CRM) platforms.
  • Strong analytical mindset with the ability to spot patterns, anomalies, and trends within large data sets.
  • Excellent organizational skills and the capacity to manage multiple priorities while meeting tight deadlines.
