Key Responsibilities

As a Remote Data Entry Pharmacy Operations Coordinator at arenaflex, you will take on a multifaceted role that combines analytical investigation, data management, regulatory support, and cross-functional collaboration. Your primary responsibilities will include:

  • Supporting the Prescriber Evaluation Process: Reviewing, organizing, and processing Prescriber Evaluation Referral Forms (PERF) with precision and timeliness. You will gather both internal and external prescribing data, coordinate prescriber and patient communications, and ensure all mailings are completed within designated timeframes to maintain workflow continuity.
  • Facilitating Critical Communications: Creating and authorizing the release of COMPASS and RHM communications, ensuring that messages reach the right stakeholders at the right time. Your attention to detail will be essential in maintaining compliance and operational clarity.
  • Generating Ad Hoc Reports: Producing custom reports for the prescriber evaluation team and supporting presentations delivered to the Integrity and Patient Safety teams. Your ability to translate raw data into actionable insights will be highly valued.
  • Administering Good Faith Dispensing Policies: Providing secondary support for Good Faith Dispensing (GFD) policy administration, helping to ensure that dispensing practices align with regulatory expectations and organizational standards.
  • Investigating Controlled Substance Orders: Researching and analyzing manually placed controlled substance orders at the store level. You will identify suspicious ordering patterns, assess circumstances surrounding each case, and take appropriate action to educate personnel on proper ordering procedures.
  • Supporting DEA Reporting Efforts: Generating comprehensive reports and providing data to DEA agents regarding store dispensing patterns, prescriber profiles, and patient profiles — all within a strict 48-hour window. You will also build custom queries to extract data outside of standard reporting parameters.
  • Maintaining Subject Matter Expertise: Staying current on issues such as controlled substance ordering protocols, GFD policies, and DEA licensing requirements. You will serve as a knowledgeable resource, responding to questions from store personnel and field supervision via email and phone.
  • Collaborating on Store Audits: Partnering with analysts to develop and review store audits related to controlled substance losses. You will work closely with Pharmacy Managers and Supervisors to ensure that all losses are reported accurately and within required timeframes.
  • Managing the Prescriber Price Tag Resolution System: Validating and updating prescriber data, collaborating with Pharmacists to confirm that any prescription blocks are legitimate and well-documented.
  • Researching Allocation Increase Requests: Analyzing requests for increases to controlled substance allocations and making informed, risk-mitigated decisions in collaboration with Pharmacy Managers, Supervisors, and product vendors. Thorough documentation of due diligence will be a key part of this responsibility.
  • Contributing to Policy Development: Assisting in the implementation and continuous updating of the Good Faith Dispensing and Target Drug Good Faith Dispensing policies to reflect evolving regulatory requirements.
  • Leveraging Technical Skills: Using advanced capabilities in Excel, PowerPoint, and database querying to support analysts in creating presentations and training materials for store staff and supervision.

Essential Qualifications

To succeed in this role, candidates must possess the following foundational qualifications:

  • Educational Background: High School Diploma or GED equivalent.
  • Professional Experience: A minimum of three years of experience working as a pharmacy technician.
  • Certification: Current certification as a Certified Pharmacy Technician, granted by the Pharmacy Technician Certification Board (PTCB).
  • Regulatory Knowledge: Demonstrated experience with prescriber licensing requirements, including NPI, DEA, and state-level licenses.
  • Technical Proficiency: Intermediate-level skills in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
  • Database Skills: Hands-on experience querying databases to extract, analyze, and report data.
  • Analytical Acumen: Proven ability to read, interpret, and report data in a way that identifies issues, trends, or exceptions — and to use those insights to drive solutions and improvements.
  • Communication Skills: Strong written and verbal communication abilities, with the capacity to tailor messaging to diverse audiences ranging from store personnel to executive stakeholders.

Preferred Qualifications

While not required, the following qualifications will distinguish standout candidates:

  • Experience with internal pharmacy management systems such as SIMS and IC+.
  • Familiarity with managed substance ordering processes, including PDQ, RxQuick Order, and Passport systems.
