We are currently seeking a meticulous, detail-oriented, and highly dependable Remote Data Entry Support Specialist to join our Adult Education operations team. This is a 100% remote position open to candidates located anywhere in the United States. Position Overview

As a Remote Data Entry Support Specialist at arenaflex, you will play a critical role in maintaining the integrity, accuracy, and accessibility of student and program data within our Adult Education office. Your work will directly support grant compliance, student outcome tracking, attendance reporting, and overall program success. This is an entry-level to early-career opportunity that combines administrative precision with meaningful impact in the adult education sector.

You will collaborate closely with program staff, instructors, and leadership to ensure that data flows efficiently, deadlines are met, and compliance standards are upheld.

Key Responsibilities

Data Management and Database Administration

  • Manage and maintain multiple databases to ensure accurate record-keeping, proper data organization, and seamless information retrieval across the Adult Education program.
  • Enter required grant data accurately and efficiently into the National Reporting System (NRS) to meet monthly, quarterly, and year-end reporting deadlines.
  • Conduct regular error checks, data validation, and clean-up procedures within NRS to ensure accurate reporting and compliance with state and federal standards.
  • Maintain appropriate records and follow required procedures and best practices for attendance tracking, assessment data, and student enrollment information.
  • Ensure that student data is maintained with the highest level of security and confidentiality in full compliance with FERPA (Family Educational Rights and Privacy Act) regulations.
  • Organize, label, and maintain digital files and materials in a structured, easily accessible manner.

Reporting and Stakeholder Support

  • Ensure that data is accessible in a timely and organized manner to internal staff, program coordinators, instructors, and other authorized stakeholders.
  • Monitor and evaluate student outcomes, including but not limited to pre- and post-testing data with state-mandated assessments.
  • Prepare and generate reports as needed to support program evaluation, grant requirements, and continuous improvement initiatives.
  • Assist with preparing mailings, communications, and documentation for program participants and partners.

Administrative and Operational Support

  • Organize and prioritize tasks effectively to meet all local, state, program, and grant-related deadlines.
  • Scan documents, label items, and maintain organized digital and physical filing systems as required.
  • Inventory office supplies and communicate needs to appropriate team members.
  • Perform basic word processing tasks including drafting correspondence, formatting documents, and creating spreadsheets.
  • Participate actively in staff meetings, team check-ins, and professional development opportunities to grow your skills and contribute to team success.
  • Take on other assignments and special projects as required to support the overall mission of the Adult Education program and arenaflex.

Essential Qualifications

  • Education: High School diploma or GED equivalent is required.
  • Technical Skills: Solid knowledge of standard office practices and procedures, along with proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint).
  • Excel Proficiency: Must have working knowledge of Microsoft Excel, including the ability to enter, sort, filter, and format data accurately.
  • Attention to Detail: Demonstrated ability to perform office work quickly and efficiently while maintaining a high level of accuracy.
  • Organizational Skills: Strong ability to plan, organize, and prioritize work effectively in a fast-paced, deadline-driven environment.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to convey information clearly and professionally.
  • Teamwork: Ability to work cooperatively and collaboratively with colleagues, instructors, and external partners.

Preferred Qualifications

  • Prior experience in data entry, administrative support, or clerical work (especially in an educational, nonprofit, or grant-funded environment) is a plus.
  • Familiarity with the National Reporting System (NRS) or similar state and federal reporting databases.
  • Understanding of FERPA regulations and the importance of student data privacy.
  • Experience with adult education programs, community education, or workforce development initiatives.
  • Basic knowledge of records management best practices and document retention policies.

Physical and Work Environment Requirements

While this is a fully remote position, the role does involve standard office-related physical activities. The successful candidate should be able to:

  • Regularly talk, express, and exchange ideas through clear spoken communication, including the ability to convey detailed or important instructions accurately to team members.
  • Possess normal cognitive abilities including the ability to learn, recall, and apply certain practices, policies, and procedures.
