What You’ll Do as a Remote Travel Customer Experience Specialist

As a key member of the arenaflex customer support team, you will serve as the primary point of contact for travelers seeking assistance with their bookings. Your mission is to deliver outstanding service that reflects the values and reputation of both arenaflex and the travel brand we represent.

Core Responsibilities

  • Handle Incoming Customer Calls: Professionally answer a high volume of inbound calls from travelers across the United States, providing courteous and efficient assistance on every interaction.
  • Review Customer History: Access and review customer account information and prior interactions to provide personalized, context-aware support tailored to each traveler’s unique situation.
  • Modify Travel Reservations: Help customers change existing hotel, flight, and rental car reservations, including date adjustments, destination changes, passenger modifications, and cancellations.
  • Confirm and Provide Itineraries: Accurately communicate reservation details, confirmation numbers, and travel itineraries to customers via phone, ensuring they have all the information needed for a smooth trip.
  • Process Refunds and Adjustments: Review refund eligibility based on company policy, process eligible refunds, and clearly explain outcomes to customers in a transparent and empathetic manner.
  • Resolve Travel Issues: Investigate and resolve customer complaints, travel disruptions, billing discrepancies, and other concerns, escalating complex cases as appropriate while maintaining ownership until resolution.
  • Coordinate with Travel Partners: Place outbound calls to hotels, airlines, rental car agencies, and other travel partners to negotiate solutions, confirm reservations, and advocate for the customer.
  • Document Interactions Thoroughly: Accurately record all relevant information, actions taken, and outcomes in the company’s CRM and case management systems to ensure continuity of service.
  • Adhere to Policy and Procedure: Follow established guidelines, compliance standards, and best practices to maintain service quality and protect both the customer and the company.

What We’re Looking For: Skills, Experience, and Personal Qualities

Essential Qualifications

  • Prior Customer Service Experience: A minimum of one year of professional customer service experience is required, preferably in a call center, hospitality, retail, or remote support environment.
  • Strong Geographical Knowledge: A solid understanding of U.S. geography, major cities, states, and popular travel destinations is essential for assisting customers with their travel plans.
  • Excellent Communication Skills: Outstanding verbal and written communication skills, with the ability to explain complex information clearly, concisely, and professionally.
  • Active Listening: The ability to listen carefully to customer concerns, ask clarifying questions, and respond with genuine empathy and understanding.
  • Problem-Solving Mindset: Strong analytical and critical thinking skills, with the ability to assess situations, evaluate options, and make sound decisions quickly.
  • Attention to Detail: A meticulous eye for accuracy when reviewing reservations, processing refunds, and documenting customer interactions.

  • Travel Industry Experience: Previous professional experience working in the travel industry, including airlines, hotels, online travel agencies, or tour operators, is highly valued.

  • Internet Connection: High-speed, hardwired (ethernet) internet connection. Wireless (Wi-Fi) and satellite connections are not supported due to reliability and call quality requirements.
  • Operating System: Windows 10 or higher
  • Processor: Intel Core i5 (1.5 GHz or faster) or equivalent AMD processor
  • Memory: 8 GB of RAM minimum
  • Hard Drive: 256 GB of available storage
  • Browsers: Internet Explorer 11 and the latest version of Google Chrome
  • Monitors: Dual monitors, each with a minimum resolution of 1920 x 1080 pixels
  • Sound: A functional sound card (standard on most modern computers)
  • Virus Protection: Up-to-date anti-virus software
  • Headset: A USB noise-canceling headset for clear, professional communication

arenaflex contracts with talented professionals across 34 U.S. states. We are currently unable to contract with individuals residing in the following states and districts: Arkansas, Arizona, California, Colorado, Connecticut, District of Columbia, Illinois, Massachusetts, Maryland, Maine, Missouri, New Jersey, New York, Oregon, Rhode Island, Vermont, and Washington.
